May Monthly Meeting Minutes

Attendees:

Ned Smith, David Black, D’Lynn Stone, Renee Steeves, Jan Geist, Ilene O’Neil, Jean Jennings, Becky Kennedy, Deborah Gacek,  Bill McHuge and Margie Stickles

This report will summarize the May Booster meeting on 7 May

Band Council Report:

·         No Report

Music Director’s Report:

·              Memorial Day Parade – Meet at Robertson school at 9:00 am. Parade starts at 10:00am.

·              Contemporary Concert is May 28 at 7:00pm. Not going to sell tickets.

·              Band Banquet scheduled June 13 5-9 PM setup starts at 4 pm and cleanup until 10 pm

·              Currently still planning overnight trip for next year

·         Would like to do a trip to Philadelphia; Toronto; Nashville or VA Beach

·         Ned sent survey out through Charms top choice so far is Toronto

·              Booster Expansion - potential opportunities for a district wide Booster organization

·         To be discussed in the future. Tabled to next meeting to start thinking about starting with one school.

·              Next year’s Pop’s Concert will be a district-wide concert

·              Music Director aspires to hire two part time assistants (one for brass, one for woodwind) to better support the student’s music education.  Would cost $1800 per year per assistant.  Follow up at next meeting or before.

·              Upcoming Dates

·         5/16 – Blue Man Group

·         5/25 - Memorial Day Parade (See below for more information)

·         5/28 – Contemporary Music Concert 7:00 pm

§  No admission fee, but Boosters will put donation drum out

§  Will sell remaining water and candy

·         6/13 – Band Banquet (5-9 pm)

·         6/14 – Cassidy Hill Vineyard Wine tasting (6-9 pm) (See below for more information)

·         6/20 - Graduation

Booster Update:

Finances

·              Bank balance $2,138

Secretary Report:

·              No report

Meeting Notes

·         Memorial Day Parade – May 25 - Meet at Robertson school at 9:00 am. Parade starts at 10:00am. Marge Stickles will provide the wagon and D’Lynn will provide the water coolers.  Need to get small drinking cups and trash bag.  Will need 2-3 people to march in the parade to help out with the water and pull the wagon.

·         Contemporary Concert May 28 at 7:00pm. Band Boosters will sell food/snacks at the concert.

·         Band Banquet - June 13 (5-9 PM), setup starts at 4 pm and cleanup until 10 pm. Boosters can help out like last year.

·         Graduation is June 20. Band will be performing. More to come from Ned as where the graduation will take place

·         Band Boosters is donating Music Scholarship(s) this year. Voted to give $200.  Need to get letter head

·         Boosters agreed to donate $100 to the Griffin Sernoffsky scholarship fund.  It was determined post-booster meeting that this is OK, so the Boosters will make the donation.

·         Need to get gifts for seniors and custodians.  Needs follow up. 

·         Loren Leonardo is going to send Picture of seniors to Cliff to get mugs made.

·         Talked about getting the 8th grade students into Charms by the end of this year. This way they can get notified of upcoming events like the meet and greet in August.  About half of the students are loaded into CHARMs now.

·         Maybe have someone talk about the Band Booster at the last middle school music concert.  Boosters will have representation at the 8th grade concert, and possibly other concerts this week.

·         Need to start thinking about next year officers.  Open spot VP Band.  Don’t know about other positions since the people were not at the meeting. Tabled to next meeting

·         Talked about selling items/food at the holiday winter concert instead of giving out refreshments. All agreed.  Need to discuss with Ned.

·         Cassidy Hill Vineyard:  Sun June 14 from 6-9pm (5:30 pm to setup)

o    Give 2 tickets or $40 for the 3 band members for the event for playing

o    $25 per person or $40 per couple to attend

o    Will be tasting 6 out of the 12 bottles

o    $400 fee for the room for up to 75 people

o    Will be raffling off items

o    Renee will email notice to Cliff Stone about the event by Monday May 11. The notice will be sent out to Band Boosters first of the event.  They will have first shot of getting tickets before it is sent out town wide.  It depends on the response might have to do more advertising. Jean Jennings said she could put it out on the Coventry TV channel.

·         Huskython:  Margie did this, made about $200

Fundraising Efforts

·         Lightbulbs:  yes, we will do this next year (Marge)

·         BJ’s: At the beginning of each month, BJs will donate $25 gift cards to organizations presenting a request letter (Need to bring this up at the next Booster meeting.  Wendy not at meeting)

o    Becky will get Coventry school letter head

o    Wendy will draft letter that can be modified each month

o    Wendy will visit BJs to get the card, if available

o    Cards can be used to get food or gift items throughout the year

·         Alumni Letter:  in progress  (Need to bring this up at the next Booster meeting.  Jess not at meeting)

o    Jess Bailey working on list

o    Letter is drafted, Plan to send out now with current band news with a follow up in the fall asking for donations

o    Any donations that are made will go into the Band account (Ned’s)

·         Paint-Sip-Fun:  to be scheduled  (Need to bring this up at the next Booster meeting.  Debbie not at meeting)

o    Debbie will work on getting a location and securing a date from the painting company

o    Target end of April/early May

·         Applebees

o    Ilene will contact them to schedule something for the fall

Next Meeting

·              Meeting date changed to June 4th (from June 11).
